Hill Day/Fly-In Management
Hill Days and “Fly-Ins” are an important part of our clients’ advocacy, creating an opportunity to engage directly with policymakers and enhance your profession’s or organization’s profile. Whether you’re bringing 30 advocates or 300, WSW makes sure it’s as easy as possible for your organization to execute the perfect Hill Day. We customize our services to meet each client’s individual needs.
Hill Day Services
Leading UP to Hill Day:
- Hold a kickoff meeting with the client and WSW’s Hill Day team to discuss the scope of the event and any unique requirements
- Define client’s “asks” and specific goals
- Prepare a customized Hill Day App to help attendees manage their entire Hill Day experience
- Track attendee RSVPs and identify each attendee’s Senators and Representative
- Identify the meeting targets for each state
- Schedule all visits on Capitol Hill
- Prepare personalized meeting itineraries that include the Member’s name and bio; the staffer’s name and LinkedIn profile; and other details as requested by the client such as the Member’s relevant committee assignments, bill cosponsorship, and caucus affiliation
- Maintain a master calendar of all meetings to include names of attendees, names of legislators, and names of staffers participating in each meeting
- Prepare advocacy briefing materials for all attendees, including briefing papers, talking points, background materials, and other documents as requested by the client
- Prepare physical and/or virtual packets for participants and leave-behind packets for Hill offices
- Develop a digital feedback form for participants to use to report back on follow-up needed from each meeting
During the Event:
- Conduct an advocacy training session for participants and a training session on the Hill Day app
- Accompany participants to meetings (if desired)
- Provide logistical information and support for the visits on Capitol Hill the day of the event, including a “help desk” that participants can call with questions or concerns
Follow-up from the Hill Day:
- Collect feedback forms and perform all follow-up tasks, such as answering any specific questions staffers asked
- Provide a report to the client including the number of meetings, the number of attendees, all feedback received via the feedback forms, and other details as requested
- Follow up with congressional offices or help attendees follow up directly with offices they met with to thank them for meeting and remind them of our “asks”
